HOW IT WORKS

Either browse our online catalogue or make an appointment to visit the fashion archive in person to choose your pieces.

All media professionals renting items to take offsite must come to the Fashion Archive first to complete the registration paperwork. You will require a copy of your ID/Passport, and a credit card for verification to complete the accreditation process. 

Accredited media professionals may make a booking to take pieces to off-site photoshoots. Non accredited individuals may only rent the pieces for use in our studios on site at the Bali Arts District and they cannot be removed from the Bali Arts District.

For rentals in the Bali Arts District, your chosen pieces will be delivered to your studio rack for your arrival and collected at the end of your photoshoot. You will be required to leave a copy of your ID at the reception for the duration of your shoot, until pieces are checked back in o the archive and any bills settled.

For accredited media professionals taking items offsite, items may be picked up from the fashion archive 9am – 5pm Monday – Friday. For out of hours and weekends, please contact us. 


1 day rental is classed as;

Collection after 4pm the day before your shoot

Shoot Day

Return before 11am the day after your shoot. If an item is returned after 11am, an additional full day will be added to your bill. Please note a credit card will be stored on file for any missing / damaged  / late items. Please see terms and conditions for further info.

Terms and Conditions

These Terms and Conditions apply when you Hire Clothing from The Fashion Archive at Bali Arts District.

You acknowledge and confirm that you are bound by these Terms and Conditions and we are entitled to rely on the fact that you agree to Hire Clothing from us subject to the Terms and Conditions as set out herein.

  1.  Definitions

In these Terms and Conditions, unless the context indicates a contrary intention, the following words and expressions bear the meanings assigned below:

“Accredited Professional” means creative industry professionals who have successfully been accredited by us to take Clothing off-site;

“Accreditation” means the accreditation that we grant Accredited Professionals (at our sole discretion);

Additional Fees” means the amount we charge you if there are Late Fees, Cleaning Fees, Repair Fees and/or Replacement Fees payable;

“Administration Fees” may be charged on top of Additional Fees to cover the cost of making arrangements to acquire new Clothing, following up on late delivery or lost Clothing, sending couriers, bank fees, lost hire days, or overnight cleaning services.

“Cleaning Fees” means the amount charged for any cleaning of garments outside of standard cleaning/laundering, including but not limited to dry cleaning, stains, etc.; 

Clothing” means any dresses, clothing, garments, bags, shoes, hats, jewellery, scarfs and other accessories available for hire from us;

Hire” or “Hired” means the Hire of Clothing from us;

Hire Cost” means the amount payable by you for the Hire, as indicated on the Website or as otherwise agreed with us in writing;

Hire Period” means the period for which you Hire the Clothing as selected on the Website or as otherwise agreed with us in writing;

Late Fees” means the amount payable for returning the Clothing after the Hire Period and is charged at a daily standard rate;

“Personal Information” means the personal information provided to us in order to complete a Hire, included but not limited to your full name, address, copy of your passport, Kitas if applicable and credit card details;

“Repair Fees” means the amount we will charge you to repair the Clothing, including but not limited to any rips or tears or other repairs;

Replacement Fees” means the amount equal to the retail value of the Clothing which has not been returned or has been damaged or altered in any way, as is determined by us in our sole and absolute discretion;

Studio” means the studios available to rent at the Bali Arts District.

User” and “you” means the individual making use of the Website and services provided by us;

“Us” and “We” means Bali Arts District, The Fashion Archive, PT Factory 29, Lautan Media Limited and all its successors and assigns.

“Website” means www.baliartsdistrict.com .

  1. General
    1. This agreement contains all of the terms and conditions regarding your hire of products from us via the website www.baliartsdistrict.com. You agree that hire from our business is subject to all our website terms and conditions of use and privacy policy. These are available on our website and are subject to change from time to time. You agree that you are renting products and ownership of the product remains with Bali Arts District at all times.
    1. You hereby grant Bali Arts District permission to collect and store your Personal Information for the duration of the Hire. This information will securely stored and never be shared. The collection of this information is a prerequisite to the Hire of any Clothing.  Should you wish for us to delete your personal information from our records, please make this request in writing.
    1. These Terms and Conditions are applicable for the duration of your Hire (including any automatic extensions of the Hire Period due to any Clothing being returned late) and during any period thereafter.
    1. We shall not be held liable for any health-related complaints associated with a Hire.  Our products have been worn or used by other customers prior to your rental.
    1. You agree to treat our Clothing with the utmost care and respect.
    1. We can refuse the right to Hire if you are unable or unwilling to provide the requested identification or documents.
    1. We always reserve the right to refuse a Hire, at our sole discretion.  In this case any prepaid amounts will be refunded.
    1. We reserve the right to change these Terms and Conditions at any time, so it is important you review and accept them each time you place an order with us.
  1. Professional Accreditation
    1. Accreditation requires an active working profile and for non-Indonesians, a Kitas in a creative field. Should your Kitas expire without you providing proof of renewal, we have the right to rescind your Accreditation. 
    1. Only known creative professionals will be awarded Accreditation. This requires an active public portfolio on a website or social media as a creative professional (included but not limited to photographers, videographers, stylists, brand owners, etc).  
    1. For anyone wishing to hire without Accreditation, they may do so within the Bali Arts District studios only for a shoot taking place within the Bali Arts District.
    1. We reserve the right to grant or rescind Accreditation at our sole discretion, and at any time.
  1. Payment 
    1. Payment for your Hire may be made online through our website (when available), via Xendit links or by cash or credit card at reception of the Bali Arts District, prior to any Clothing being handed over to you.
    1. Accredited Professionals must fill out a payment authorisation form containing credit card details, phone number and address, pre-authorising us to debit your card automatically via Stripe for any Additional Fees incurred.  An invoice of these fees will be sent to you automatically when we capture payment.  Clothing will not be released to you unless this form has been completed.  Should this payment fail for any reason we reserve the right to recover payment via any legal means.
    1. When hiring on site, we require that a passport or local ID be left at the Bali Arts District reception for the duration of your Hire.  It will be stored securely and returned to you upon the Clothing being returned and any Additional Fees settled.
    1. Additional Fees must be paid immediately.  They will be automatically debited from the credit card on file for Accredited Professionals, and on-site Hires must pay any Additional Fees in full prior to their passport or ID being returned upon the completion of their shoot.
  1.  Hire Costs and process
    1. The Hire Cost is the full amount payable by you to rent the Clothing for the Hire Period. If there are any additional costs payable by you this will be clearly indicated by us at the time of Hire.
    2. In order to Hire Clothing you need to provide us with all the necessary information and documentation, in person at Bali Arts District.
    3. When placing your order to Hire Clothing, you authorise us to charge the Hire Cost to your bank or credit card immediately.
    4. Payment can be made via payment links, on the website or by card at Bali Arts District reception.
    5. If you are an Accredited Professional, you must provide credit card details to keep on file in case we need to debit Additional Fees. If you have provided us with your credit card details then you hereby authorise us to debit your card immediately with any Additional Fees, Late Fees, Replacement Fees, Repair Fees, Cleaning Fees or Administrative Fees payable under these Terms and Conditions.
  1.  Hire Period and Late Returns
    1. Pick up of your hire:  from the Bali Arts District reception between 4-5pm the day before your shoot (Monday to Friday).
    2. Return of your hire:   to the Bali Arts District reception before 11am the day after your shoot.  

Late returns will incur an additional day’s rental fee.  

Items rented on a Friday between 12pm-5pm are due back on Monday before          11am.

    1. You can request an extension of the Hire Period by calling / WhatsApp as soon as possible to extend the Hire Period, before the end of the Hire Period. We have the right to refuse or agree to extensions of the Hire Period at our sole discretion should there be another booking.  Such extensions must be paid for immediately in person at Bali Arts District, or via a payment link which will be sent to you.
    2. We have the right to charge you Late Fees without prior notification if any Clothing is returned after the Hire Period has ended. If the item is returned on the same day, but past the rental return time, there will be a 40% late fee applied to cover overnight cleaning fees. If an item is returned the next day or later after the rental return date, a full additional hire day will be charged per day. If you think your photoshoot is going to run late, please contact us as soon as possible to check the item is available for you, and not already booked for another photoshoot.
    3. If you do not return the Clothing when your Hire Period has ended and do not contact us/or are not contactable within 24 hours of said Hire Period ending, we will consider the Clothing stolen, charge you any Additional Fees immediately, rescind your Professional Accreditation and take appropriate legal action in accordance with the theft.
    4. We have the right to charge you FULL Replacement Fees of any Clothing which is not returned within 3 (three) calendar days of the end of the Hire Period.
  1. Use and Damage of Clothing 

You acknowledge that:

    1. Rental of items from the Fashion Archive are SOLELY for the purpose of photoshoots, and are not to be worn to events or used for any other purpose. If items have been clearly worn to an event, Accreditation will be automatically rescinded.
    2. You will not alter (temporarily or permanently) the Clothing in any manner.
    3. Clothing will be returned by the expiry of the Hire Period in the same condition as when Hired.
    4. You will inspect all Clothing upon collection and inform us in writing immediately upon receipt of the Clothing if there is any damage, defect or wear and tear of whatsoever nature to the Clothing. We can then take note of such damage, defect or wear and tear. As long as you return the Clothing in the same condition as when Hired you will not be liable for this.  We strongly suggest that you collect and inspect your Hired Clothing in person, as it is your responsibility once it leaves the premises and any damages we are not previously aware of will result in Repair Fees.
    5. Any Clothing returned damaged will incur a Repair Fee or, if beyond repair, a Replacement Fee.
    6. Although we will try to fix (at your cost) any damage to the Clothing, we need to ensure that the Clothing is fit for its purpose and we need the Clothing to be ready for the next Hire. As such we have the right to charge you Administration Fees in addition to Repair Fees to make up for any lost hire days while the item is in the process of being repaired.
    7. We have the right to charge you FULL Replacement Fees of any Clothing which is significantly damaged or altered in any way, for any reason whatsoever, whether due to your own fault or anyone else’s.
    8. If an item of Clothing is lost, stolen or damaged beyond repair, whether or not such loss, theft, or damage is attributable to any negligence, failure, or omission on your part, then you will be liable to pay a Replacement Fee for replacement of the item. 
    9. Whenever the retail/replacement value of Clothing needs to be determined we have the sole right to determine this value, based on searches of replacement value items. If the item is rare, out of stock, or vintage, there will be a premium for our time searching for a suitable replacement piece, and the Replacement Fee will include estimated shipping and customs fees. 
    10. We have the right to charge you a reasonable Administration Fee if any Replacement Fees or Late Fees are payable. This is to cover the cost of making arrangements to acquire new Clothing, following up with you on late delivery or lost Clothing, sending couriers, bank fees, or overnight cleaning services.
    11. You authorise The Fashion Archive, Bali Arts District and Lautan Media Limited to automatically debit the card which you used to make the payment of your Hire Cost for any Additional Fees, Hire Cost, Replacement Fees, Late Fees or Administrative Fees payable in accordance with these Terms and Conditions.
    12. Any Replacement Fees, Late Fees, Additional Fees or Administration Fees paid by you in terms of the Terms and Conditions are in addition to any Hire Cost.
    13. Under no circumstances should any garment be removed from the Bali Arts District site without Accreditation.  If items are removed from the Bali Arts District Site without Accreditation, we will consider the removed Clothing stolen and proceed accordingly.
    14. The clothing is and will at all times remain the absolute property of Bali Arts District, PT Factory 29 and Lautan Media Limited.  If you fail to return the Clothing to us, we or our agents may enter upon and into any land or premises owned or occupied by you, or any premises where the Clothing is situated and take possession of the Clothing in addition to all other remedies available by law.
  1.  Availability of Clothing
    1. There may be situations outside of our control where Clothing can at short notice no longer be available (for instance when the previous customer has not returned the Clothing or has damaged the Clothing).
    2. We endeavour to give you as much notice as we are able in the circumstances to allow you to make alternative arrangements and will refund any Hire Costs already paid if we cannot fulfil a Hire or offer a suitable replacement.
  1.   Cancellation policy
    1. If you cancel a Hire one or more days (24 hours) before the start of the Hire Period, you will be refunded the full Hire Cost.
    2. If you cancel a Hire on the day of the Hire, we have the right to charge you a 30% Administration Fee for the cleaning and preparation of garments. 
    3. If you do not collect your Hired Clothing when scheduled to do so but do not cancel your booking, they will remain available to you until the end of the Hire Period but you will not receive any refunds.
  1.  Delivery & Collections / Returns
    1. Items are available to collect from the Bali Arts District reception 9-5pm Monday to Friday. You may also organise a Gojek at your own cost and risk, and are responsible for any loss, theft or damage which may happen in transit.
    2. For out of hours / weekend pick ups / returns please contact us before hand to make arrangements.
    3. Items are considered collected once they have been collected from Bali Arts District reception, and returns are complete once they have been handed over to Bali Arts District reception.
  1.  Garment Handling
  1. Professional cleaning is included in your Hire and you agree that no attempts will be made to wash/ dry clean/ iron/ alter or repair a garment.  All garments are professionally steamed before we hand them over to you, however they may become creased in transport.  
  1. Please be careful with makeup transferring onto garments. Depending on the material, this will result in Cleaning Fees, or occasionally permanent damage to the item which would result in Repair Fees or Replacement Fees.
  1. Some items are rare antiques, and therefore fragile and irreplaceable. Please handle with care.
  1. Do not leave items unattended.
  1. DO NOT put items into chlorinated / salt water. This will incur additional Cleaning Fees and often lead to fabrics being permanently damaged which will result in Replacement Fees.
  1. Basic cleaning/laundering of garments is included in the hire price. Any garment requiring specialist cleaning/dry cleaning will be charged the additional Cleaning Fees as per section 9 below.
  1. If it is clear that a garment has been worn to a party/event outside of a photoshoot, we have the right to charge a penalty and rescind your accreditation.
  1. Under no circumstances should any garment be removed from the Bali Arts District site without Accreditation.  If items are removed from the Bali Arts District Site without Accreditation, we will consider the removed Clothing stolen and proceed accordingly.
  1. Cleaning and Repair Fees

  1. Limitation of Liability
  1. By accepting these Terms and Conditions, you agree that we will not be liable for any loss, damage, costs or expenses of an indirect or consequential nature incurred or suffered by you as a result of:
  • Cancellation of a Hire;
  • Late or non-delivery of a Hire;
  • Issue with the quality of an item of Clothing;
  • Use of the Hired Clothing.

This includes but is not limited to economic loss, loss of goodwill, emotional suffering, loss of opportunity or other loss of turnover, profits or business.  Our liability will be limited to any amount paid by the customer to Bali Arts District.

  1. You indemnify and hold Bali Arts District, PT Factory 29, The Fashion Archive and Lautan Media Limited harmless for all injuries or damage of any kind for repossession and for all consequential and special damages for any claimed breach of warranty.
  1. You shall pay all reasonable attorney and other fees, expenses and costs incurred by us in protection of our rights under these Terms and Conditions and for any action taken against yourself to collect any amounts due to the us under this rental agreement.
